We are seeking an energetic Purchasing and Receiving Coordinator to join our team! The Purchasing and Receiving Coordinator will play a pivotal role in ensuring the efficient procurement of goods and services, as well as the accurate receiving and inspection of incoming shipments. Your attention to detail, negotiation skills, and organizational abilities will contribute to the smooth operation of our procurement processes.

RESPONSIBILITIES AND JOB DUTIES:

Purchasing:

1.         Vendor Management:

  • Identify, evaluate, and establish relationships with suppliers.
  • Negotiate terms, pricing, and contracts to ensure cost-effectiveness.

2.         Purchase Order Processing:

  • Generate and process purchase orders accurately and in a timely manner.
  • Track and monitor open purchase orders, resolving discrepancies as needed.

3.         Budget Compliance:

  • Work closely with relevant departments to adhere to budgetary constraints.
  • Seek cost-effective alternatives without compromising product or service quality.

4.         Quality Assurance:

  • Collaborate with quality control teams to ensure purchased goods meet specified standards.
  • Address and resolve any quality issues with suppliers promptly.
  • Receiving:

5.         Shipment Inspection:

  • Receive and inspect incoming shipments for accuracy and condition.
  • Document and report any discrepancies or damages to suppliers and internal stakeholders.

6.         Inventory Management:

  • Update and maintain accurate inventory records in collaboration with the warehouse team.
  • Conduct regular stock checks to ensure inventory accuracy.

7.         Coordination with Departments:

  • Collaborate with various departments to ensure timely delivery of goods to the appropriate locations.
  • Communicate with end-users to confirm receipt and satisfaction with delivered items.

Documentation and Reporting:

8.         Record Keeping:

  • Maintain organized and up-to-date records of purchasing and receiving activities.
  • Create and manage a database of suppliers and their performance.

9.         Reporting:

  • Generate regular reports on purchasing and receiving metrics.
  • Provide insights into cost savings, supplier performance, and inventory levels.

Compliance and Ethics:

10.       Policy Adherence:

  • Ensure compliance with company policies and relevant industry regulations.
  • Stay informed about changes in procurement laws and regulations.

11.       Ethical Practices:

  • Conduct all purchasing and receiving activities with integrity and ethical standards.
  • Avoid conflicts of interest and maintain confidentiality in supplier relationships.
  • All other duties as assigned.

QUALIFICATIONS:

•          Prior experience in Supply Chain Management, or a related field.

•          Proven experience in purchasing and receiving roles.

•          Strong negotiation and communication skills.

•          Knowledge of procurement software and inventory management systems.

•          Detail-oriented with excellent organizational and time management abilities.

•          Analytical thinking and problem-solving skills.

•          Ability to work independently and collaboratively within a team.

•          Familiarity with industry best practices and emerging trends.

•          Adaptability and flexibility in a dynamic work environment.

Base Salary Range: $20.00 to $25.00 per hour, based on background and experience.
